Tenant management · India Est. 2026

Every bed, every visitor, every rupee — accounted for.

Hostel Manage is one system for hostels and PGs — digital Aadhaar KYC, QR gate passes, complaint tickets, leave, rent and live occupancy. Residents get an app. Wardens get control. Owners get the whole picture.

Android, live Data hosted in India OTP login, no passwords
04 roles

Owner, warden, support staff, resident — one login, four different apps' worth of access.

12 modules

From KYC to mess menu. Everything a property actually does, in one place.

QR gate pass

The paper visitor register, retired. Scanned at the gate, logged in seconds.

₹0 paper

Complaints, leave slips, receipts, notices — all digital, all searchable.

01 Two sides of the gate One app

A resident and a warden open the same app
and see two completely different worlds.

Role decides everything: what you see, what you can approve, what you can change. No separate staff app to install, no shared logins, no spreadsheets in the middle.

02 The index 12 modules

Not a to-do app with a hostel skin.
Built for how a property actually runs.

01

Digital KYC

Aadhaar verification through DigiLocker, plus PAN and photo. Warden approves or rejects with a reason.

02

Rooms, beds & occupancy

Floors, rooms, lettered beds. Generate a whole block in one pass, then edit anything. Occupancy updates itself.

03

QR gate passes

Residents create visitor passes. Security scans the QR. Name, phone, host and timestamp, logged automatically.

04

Complaint tickets

Photo, category, priority. Assigned to support staff, resolved with proof, closed with a trail nobody can rewrite.

05

Leave applications

Dates and reason in, warden decision out. Parents ask, you have the record.

06

Rent & invoices

Monthly invoices per bed, cash collection with warden validation, and a paid/pending list that's never in doubt.

07

Notices & push

One message to a block or the whole property, delivered as a push notification. Read it once, it stays on the board.

08

Mess menu

Seven days, four meals, edited inline by staff. "What's for dinner" stops being a WhatsApp question.

09

Community board

Lost keys, cab share, a spare mattress. Residents post, staff pin what matters and moderate what doesn't.

10

Move-out & transfers

Resident requests, warden approves, bed frees itself. Room transfers without a single phone call.

11

Enquiries & leads

Every walk-in and phone enquiry tracked from "just looking" to a bed with a name on it.

12

Feedback & ratings

Residents rate food, cleaning, staff and Wi-Fi. You find out before they post it publicly.

Revoked

The paper register at the gate,
retired.

A notebook at the gate tells you nothing an hour later. A scanned pass tells you who came in, who invited them, when they arrived — and lets you shut it off mid-visit if you need to.

  1. Resident creates the passVisitor name, phone, purpose, valid window. Takes about twenty seconds.
  2. Security scans the QRCamera opens in the staff app. Valid, expired or revoked — instantly obvious.
  3. The entry writes itselfTime, visitor, host and gate, stored. Searchable next week, next month, next year.
  4. Revoke without a confrontationOne tap kills the pass. The next scan simply fails. No argument at the gate.
04 How it works Four steps

Set it up on a Sunday.
Run it from Monday.

01

Draw the building

Tell it how many floors, rooms per floor and beds per room. It generates the whole layout — numbered rooms, lettered beds — in one shot. Then fix the odd triple-turned-double by hand.

02

Let residents in

They install the app, log in with an OTP, fill their details and finish Aadhaar KYC. It lands in your approval queue. You approve, assign a bed, done.

03

Stop being the middleman

Complaints, leave, visitor passes, rent, notices, mess menu — they all route themselves to whoever should handle them. Your phone stops being the switchboard.

04

Watch the numbers

Occupancy, revenue, open tickets, complaints by category — per property and across all of them. Decisions with evidence instead of a hunch.

06 Handled carefully

You're holding people's
Aadhaar. Act like it.

Identity documents, phone numbers, room assignments, payment records. The bar for storing this is higher than "it works", so here's exactly how it's handled.

Encrypted in transit Everything between the app and the servers runs over HTTPS/TLS. Cleartext traffic is switched off at the OS level in the Android build.
Data stays in India Files and database live in the AWS Mumbai region (ap-south-1). No copies wandering off to another continent.
Role-based access A warden sees their property. A resident sees their own record. Nobody browses anybody else's documents.
KYC in locked storage Aadhaar verification runs through DigiLocker. Uploaded documents sit in access-controlled storage, opened only for verification.
OTP login, hashed passwords Residents sign in with a phone OTP — nothing to forget or leak. Staff passwords are cryptographically hashed, never stored as text.
Audit trail Approvals, rejections, payments and resolutions are written to an audit log. Who did what, and when, stays answerable.
07 Questions Answered

The things people ask
before saying yes.

Q1Do residents and staff need two different apps?

No. One app, one download. What you see is decided by your role — resident, support staff, warden or owner. A resident who later becomes staff doesn't reinstall anything.

Q2What if my residents aren't good with apps?

Login is a phone number and an OTP — no password, no email required. The home screen is four buttons: raise an issue, visitor pass, apply for leave, mess menu. Most people finish their first complaint without being shown how.

Q3Can I still take rent in cash?

Yes, and that's deliberate. The resident marks a cash payment, the warden validates it, and the invoice moves to paid. You get a clean ledger without forcing anyone onto a payment app. Online payments are being rolled out as a separate option.

Q4How long does setup actually take?

The building itself is minutes — floors, rooms per floor, beds per room, generated in one pass and editable afterwards. The real timeline is your residents onboarding themselves, which happens as they install the app rather than as a data-entry project for you.

Q5Who can see a resident's Aadhaar?

Only staff at the property that resident belongs to, and only for verification. Documents sit in access-controlled storage in the AWS Mumbai region, transferred over TLS, and the app never shows one resident another resident's documents. Full detail is in the privacy policy.

Q6I run several properties. Does that work?

That's the design. Each property gets its own wardens, rooms and residents; the owner account sees all of them rolled up in the web dashboard, with the ability to drill into any single one. Adding the eleventh property works exactly like adding the second.

Q7Is it on iOS?

Android is live on Google Play. iOS is on the way — if you want to be told the day it ships, write to us and we'll put you on the list.
